WebCenter Contact Roles

Contact roles added on the customer record can be useful to distinguish the role of the contact for that company.   If set up on the customer record, they will also automatically default for any new order created.  For example, this might be used to setup a Supervisor on a department, and  any new orders for that department will have that person created as an order contact with the Supervisor role. This is useful for WebCenter, as Supervisors generally are the timecard approvers.  

1. Determine the WebCenter configuration

First, we will need to examine the WebCenter Timecard Workflow. We can see the WebCenter Timecard workflow by logging into WebCenter as an Administrator, navigating to the configuration section (1.) , select the customer's entity from the left (2.) , then select the timecard category (3.). Select the TimeCard workflow type, which should be listed near the top of the screen. In the example below we see that the Timecard workflow is set at "All Contacts."   With all contacts selected, any contact role you assign will be able to approve time. 


You may also configure other workflow types that will determine which contact roles should have certain access for said rule. In the example below we can see that for 1919 Shipping the Report To (contact role) will be the main approver, while additional contacts may go in after a certain amount of hours and approve timecards. 

You may also setup the configuration " Order Workflow Type" if clients have specific rules on who can create orders in WebCenter or if certain rules apply when orders are created. This can be found under the Order (1.) Order Workflow Type (2.):


*Note- With each workflow type, TempWorks can customize the contact roles you prefer to have within that workflow. If you wish to change these please work with a TempWorks representative. 

2. Add contact roles

To add contact roles, navigate to the customer of choice, details (1.) contact roles (2.)

By selecting the pencil icon, the customer contacts window will populate where users may select the contact (1.) and assign the available role (2.):

By default the following list of contact roles in the system are setup to be able to approve time if you have the workflow config "all contacts": 

  • Supervisor
  • Timecard alt 1,2,3,4
  • Hiring Manager
  • HR Coordinator
  • Report To

The below chart shows default settings based on the workflow type you select and what contact roles are included in that workflow to be able to approve time or create orders.
