How to Mass Assign and Unassign Employees

Mass assigning and mass ending of assignments helps save time, especially if you are working with higher volume orders.

Mass assign employees:

There are two ways to mass assign employees to an order, through the order/candidate form or through the order/candidate/search form.

1. Mass assigning through the order/candidate form:

Click to select the employees to assign. Hold down the shift key on your keyboard to select a block of employees, hold down the control key to select individual employees from the list.

Either click the assignment button in the upper right (1.): 

Or, right click (after selecting the employees) your mouse and select assign employee (2.):

2. Mass assigning through the order/candidate/search form:

Click to select the employees to assign.  Hold down the shift key on your keyboard to select a block of employees, hold down the control key to select individual employees from the list.

Either click the assignment button in the upper right (1.):

Once assigned, the employees who were assigned can be viewed from the order/visifile:

Mass ending assignments:

There are two ways to end assignments, en masse, depending on your desired end result:  

  • If all assignments should be ended as of the day they are being updated in TempWorks and they should all have an assignment status of complete, use option 1, changing the order status.  
  • If the assignments end on different days, for different reasons, or if you want to indicate that certain employees should not return, use option 2, actions/update assignments.‚ÄčChange the order status:  

1. Change Order Status:

From the order details form, change the order status to a status that indicates this order is no longer being serviced (canceled, closed, etc...). Upon saving a prompt will appear asking if you would like to close all the associated assignments. Click to select yes and all assignments will be ended as of the date the update is taking place and with a status of complete.

2. Actions/update assignments:

This will open the update assignments form and list everyone who is currently assigned to that order:

Within the update assignments form, click to indicate you would like to update an assignment (1.).  

*Note - If this box is not checked, no changes will be saved for that assignment.  

Change the performance code according to the performance of the employee while on this assignment (2.).  If desired, add a performance note (3.).  If the assignment is ending, enter the end date for each ending assignment (4.).  If the estimated end date is changing, it can be done using the est end date column (5.).  If the customer has requested the employee not return to the customer/department, click to place an x in the customer dna employee check box (6.).

*Note - The customer dna employee is dna'ing the employee from the customer/department only, if the customer has requested the employee never return to the customer, it is recommended that the dna be set at the customer or employee.

When done with the necessary changes click save.  This will update all assignments selected:
