
Overview
With the Live Life Healthy (LLH) integration with TempWorks, you are provided a streamlined eligibility calculation process and automated managing of adjustments for premiums and reimbursements/claims.
*Note* This integration requires additional licensing and an existing relationship with LLH.

Important Information
*Note* Please keep in mind the following information regarding the LLH integration:
- LLH can only accurately calculate eligibility if an employee receives a single check per pay period.
- LLH’s eligibility calculation will only function in payroll runs with the type: "Check Run".
- LLH’s eligibility calculation cannot handle percent based post-tax adjustments.
Permission Requirements
Users are required to have the following permissions to utilize the LLH integration:
- Standard payroll Sec Roles for the running of payroll while including the calculation of LLH eligibility.
- The "LLH Administrator" Sec Role for the sending of the Actuals data to LLH.
- The "Can Edit LLH Settings" Beyond Security Permission to manage your LLH configurations.
Adjustment Setup
During setup of the LLH integration, TempWorks will add the appropriate adjustments within your system.
Once complete, you will see the following adjustments:
- Plan 1600
- Plan 1500
- Plan 1200
- Plan 1050
- Plan 900
- Plan 750
- Plan 600
Additionally, an LLH claim/reimbursement adjustment will be added that may be named "LLH Claim".
*Note* LLH requires the naming and setup of the adjustments to match their system in order for the integration to function as intended.
Therefore, it is not recommended that the adjustments are modified in any way once they have been setup.
Administration Setup
If you are a member of a Security Group with the "Can Edit LLH Settings" Security Permission, you will have the ability to edit specific configuration settings via B Menu > System Settings > External Services > LLH Client Setup > "LLH Tenant Settings" and "LLH Employer Settings":

LLH Tenant Settings
Within the "LLH Tenant Settings" card, selecting "Edit" will allow you to modify the following settings:
- LLH Major Medical Adjustments: The list of applicable Major Medical Adjustments
- LLH Retirement Adjustments: The list of applicable Retirement Adjustment

LLH Settings
Within the "LLH Employer Settings" card, selecting "Edit" will allow you to modify the following settings:
- LLH Check Error Level: Determines which warnings/errors will result in check errors when processing payroll with LLH
- None: Only correctable check errors will be created, e.g., Multiple Checks in a pay period, etc.
- Errors Only: Only errors resulting in check errors will be created, including those from LLH such as missing required information.
- All: Any errors or warnings from the LLH process will result in check errors.
- LLH Enabled Branches: The list of applicable branches in which the integration can be enabled.
- *Note* Leave this field blank to enable the integration for all branches.

Completing Payroll
When calculating payroll with the LLH integration, the staged transaction data is automatically sent to LLH to perform a plan eligibility assessment and calculate plan premiums and claim amounts.
After creating a payroll run with the type "Check Run", and verifying the transactions, select "Next" to begin the calculation process:
*Note* In the event checks need to be processed that should not have LLH calculations (i.e. check corrections, etc.), select the "Bypass LLH Eligibility Calculation" checkbox when creating the payroll run:



After the initial calculation, the “Processing payroll through LLH" step will appear. This step includes the following:
- Gathering the payroll data and sending it to LLH.
- Polling the status of the payroll run with LLH.
- Applying the adjustment amounts as determined by LLH.
*Note* During this step, please do not "Cancel" or "Back" out of the payroll wizard.

Once the payroll run has been processed through LLH, a second calculation is run to properly re-calculate staged checks with any adjustment amounts added to them.
*Note* In the event LLH payroll warnings are received, these should be corrected before completing the payroll process:

Depending on the size of the payroll run, we recommend one of the following options:
- For larger payroll runs, remove the affected employee(s) from the run, correct the errors, and process within a new payroll run.
- For smaller payroll runs, abandon the payroll run, correct the errors, and process a new payroll run.
Payroll warnings may be received in the event the employee is missing any of the following record information:
- Pay Periods
- First Name
- Last Name
- Date of Birth
- SSN/Government ID
- Street
- City
- State
- Zip Code
- Email Address
- Worksite Address Information (Street, City, State, Zip Code)
- Federal Filing Status
Additionally, you can run the "LLH Payroll Warning and Errors" report from this screen by selecting the reports charm:

This report will display additional details on employees that do not qualify (DNQ) for an LLH plan or have opted out with LLH, as well as any errors or warnings received from LLH during the eligibility calculation process.
The report has the following parameters, and either a Payroll Run ID or Employee ID are required to run the report:
- Payroll Run ID: The payroll run to display LLH warnings and errors for.
- Employee ID: The employee to display LLH warnings and errors for.
- LLH Message Type: A filter for the different types of messages such as errors, warnings, and DNQ.

Once LLH payroll errors are resolved, you can select the “Recalculate Check Run” option to complete the LLH calculation once more:

After the eligibility calculations are performed by LLH, qualified employees will have adjustments for the calculated premium and claim amounts added to their respective staged checks:


Once the transactions have been calculated through LLH, and the staged checks have the appropriate adjustments, the payroll run can be completed.
*Note* Only one LLH plan should ever be active at a time for an employee. If an employee qualifies for a different plan or does not qualify on a payroll run, old plans will be deactivated on their respective record.
In the event the payroll run is abandoned, or a check is removed after LLH has been calculated and applied to a timecard, any outstanding LLH adjustments will be removed from the associated timecard:

Sending Actuals to LLH
Once payroll has been completed and the week has been closed, you will need to send information on all checks that were processed (with or without LLH eligibility) to LLH so they can process the finalized amounts.
*Note* In the event you have more than one week open within your system, the following process will need to be repeated for every week that has been closed in which LLH has been processed.
Navigate to Pay/Bill > Action's Menu > "Send Actuals to LLH":

*Note* Like when closing the week, you may be prompted to update your hierarchy in the event you are not at the intended hierarchy level to send the Actuals information to LLH:

Within the "Send Actuals to LLH" window, select the appropriate Weekend Bill for the week that has just been closed and select "Export File" to begin the automated process::

Once the exporting process has completed, you will see one of the following messages depending on whether Actuals data has been found:


Select "Continue Working" once prompted to complete the process.
*Note* The exporting process can be completed as many times as you like. Data will be overridden on LLH's end with every new export.
Troubleshooting
Payroll Warnings
Payroll warnings may be received in the event the employee is missing any of the following record information:
- Pay Periods
- First Name
- Last Name
- Date of Birth
- SSN/Government ID
- Street
- City
- State
- Zip Code
- Email Address
- Worksite Address Information (Street, City, State, Zip Code)
- Federal Filing Status
Payroll Errors
When utilizing the LLH integration, the following Payroll errors may be received:
- Extra withholding is greater than 82% of gross wages.
- TempWorks API: Resource not found. There is an issue with the adjustments set up for LLH plans.

- To fix, complete the following:
- Abandon the payroll run
- Setup/reactivate the adjustment
- Re-create the payroll run
- Complete the LLH calculation for the payroll run and verify the error is resolved
